Microsoft Office 2019 vs 2021: Is It Worth Upgrading?

Microsoft Office 2021 Professional Plus brings several years of improvements over Office 2019. Excel 2021 introduces dynamic arrays with functions like XLOOKUP, XMATCH, FILTER, SORT, UNIQUE, and SEQUENCE — these fundamentally change how spreadsheet formulas work and eliminate the need for Ctrl+Shift+Enter array formulas. The XLOOKUP function alone replaces VLOOKUP, HLOOKUP, and INDEX/MATCH combinations with a single, more powerful function. PowerPoint 2021 adds the Record Slide Show feature with ink and laser pointer recording, improved morph transitions, and a refreshed stock media library. Word 2021 includes improved co-authoring capabilities when files are stored in OneDrive or SharePoint. Outlook 2021 gains improved search powered by Microsoft Search, a refreshed compose experience, and translator integration. The overall interface in Office 2021 adopts a cleaner, more modern visual style consistent with Windows 11 design principles. Both versions are perpetual one-time purchases.

Office 2019 remains a capable productivity suite for users who do not need the latest features. If you already own Office 2019 and your workflow does not require the new Excel dynamic array functions, there is limited reason to upgrade. Office 2019 supports VLOOKUP, PivotTables, and all traditional Excel functionality that has served professionals for decades. For organizations that have standardized on Office 2019 and would face testing and deployment costs for an upgrade, staying on 2019 until the next major hardware refresh is pragmatic. However, note that Office 2019 mainstream support ended in October 2023, and extended support ends October 2025 — meaning security patches are ending soon.

For any new purchase, Office 2021 is the clear choice over 2019. The dynamic array functions in Excel 2021 are genuinely transformative for anyone who works with spreadsheets regularly. XLOOKUP is faster, more intuitive, and more flexible than VLOOKUP. The FILTER and SORT functions enable dynamic reporting without PivotTables. The longer support lifecycle (through approximately 2026) provides additional years of security updates. If you are purchasing Office for a new employee, a new computer, or replacing an older Office version, Office 2021 costs only marginally more than 2019 at Distivo and delivers meaningfully better value.

At Distivo, Office 2019 Professional Plus is available from €19.99 and Office 2021 Professional Plus from €24.99. The €5 difference gets you XLOOKUP, dynamic arrays, improved PowerPoint recording, better Outlook search, and approximately 1-2 additional years of security support. Microsoft retail pricing sets 2019 at around €369 and 2021 at €399. At Distivo prices, both represent over 90% savings. We recommend Office 2021 for all new purchases. The only scenario where 2019 makes sense is if you specifically need to match an existing 2019 deployment for compatibility reasons.
